This Privacy Policy explains how CLUTCH Tournaments ("CLUTCH", "we", "us") — a Discord bot and companion website at tournaments.clutch.game that runs competitive tournaments inside Discord servers — handles information about the servers, organizers, and players who use it.
The short version. We collect the minimum needed to run tournaments: your Discord identity, the entries and results you create, and (for paid plans) billing details handled by Stripe. We don't sell your data, we don't run ads, and we don't use it to profile you. You can have your data deleted at any time.
1Who this applies to
This policy covers everyone who interacts with the bot or the website: server administrators and tournament organizers, players who sign up for tournaments, and visitors to our public pages (including the live web bracket).
CLUTCH runs on top of Discord. Your use of Discord itself is governed by Discord's Privacy Policy, which is separate from this one.
2Information we collect
Discord account information
When you use the bot or sign in to the web dashboard, we receive from Discord your user ID, username, display name, and avatar. For the web dashboard, signing in with Discord also tells us which servers you can manage, so we only show you those. We never receive your Discord password or email login credentials.
Tournament and participation data
- Tournaments you create or join: titles, dates, formats, entrants, teams, seeds, check-ins, match results, scores, and standings.
- Server (guild) IDs and the tournament-related settings an admin configures (announcement channels, admin roles, cleanup preferences).
- In-game identifiers you choose to provide at signup — for example an in-game nickname, or for some games a game-specific username and account ID. Fields marked as private (such as a game account ID) are shown only to tournament administrators and are never displayed on public pages.
- Match-room transcripts — when a match room is archived, its chat history (messages, authors, timestamps, and attachment names) is saved as a transcript. Transcripts are available only to that server's tournament administrators, through the web dashboard and an admin-only channel in the server; they are never shown on public pages.
Billing information (paid plans)
Payments are processed by Stripe. We do not see or store your full card number — Stripe handles that directly. We store a Stripe customer/subscription reference, your plan, and billing status so we can apply your subscription to your server. Stripe's handling of your payment data is covered by Stripe's Privacy Policy.
Technical and operational data
- A signed session cookie set when you log in to the web dashboard, so you stay signed in. It is authentication-only — not an advertising or tracking cookie.
- Analytics cookies set by Google Analytics on our website, used to measure how the site is used (see Sharing and third parties below).
- An administrative audit record of actions taken through the web dashboard (for example, who reported or corrected a result), used for security and accountability.
- Standard server logs (such as error logs) needed to keep the service running and diagnose problems.
3How we use your information
- To run tournaments — create brackets, form match rooms, track results, publish standings, and notify participants.
- To operate the web dashboard and the public live bracket pages.
- To apply and manage subscriptions and billing.
- To keep the service secure, prevent abuse, and fix bugs.
- To respond to your support requests.
We do not sell your personal information, share it with advertisers, or use it to build marketing profiles.
4What is shown publicly
Tournaments are social by nature. Your display name and public entry details (and, if the organizer enables it, your chosen public in-game nickname) appear in the Discord announcement and, when the organizer turns on the live web bracket, on a public page at tournaments.clutch.game/b/<id>. That page is reachable by anyone with the link.
Private signup fields (such as a game account ID) are never shown on public pages or to other players — only to the tournament's administrators. We deliberately never place your Discord ID or private fields into public bracket data.
5Sharing and third parties
We share data only with the service providers that make CLUTCH work:
- Discord — the platform the bot operates on.
- Stripe — payment processing for paid plans.
- Our hosting provider — the servers and database that store and serve the application.
- Umami — privacy-friendly, cookie-free website analytics on this site. It counts anonymous, aggregated page views (no personal profiles, no tracking across other sites).
- Google Analytics — website usage statistics on this site. Google Analytics sets cookies and processes usage data (pages visited, approximate location, device information) on Google's servers, covered by Google's Privacy Policy. You can block it with their opt-out browser add-on or a content blocker.
We may also disclose information if required by law, or to protect the rights, safety, and security of our users and the service.
6Data retention
We keep tournament and account data for as long as your server uses CLUTCH, so past events and standings remain available. Billing records are retained as required for accounting and legal obligations. You can request deletion of your data at any time (see below), and we remove data we no longer need to operate the service.
7Your rights and choices
- Access & correction — organizers can view and edit tournament data through the bot and dashboard; contact us for anything you can't change yourself.
- Deletion — you can ask us to delete your personal data, or a server owner can ask us to remove their server's data. Removing the bot from a server also stops any further data collection for it.
- Withdrawing from a tournament — you can withdraw before a tournament starts, which removes your entry.

8Children
CLUTCH is not directed at children. You must meet Discord's minimum age requirement for your country to use Discord, and therefore to use CLUTCH. We do not knowingly collect data from anyone below that age; if you believe we have, contact us and we will remove it.
9Security
We use reasonable technical and organizational measures to protect your data, including encrypted connections (HTTPS/TLS), signed session tokens, scoped access to server data, and per-action authorization checks. No system is perfectly secure, but we work to keep your information safe and to limit what we collect in the first place.
10Changes to this policy
We may update this policy as CLUTCH evolves. When we make material changes, we'll update the "Last updated" date above and, where appropriate, note it in our Discord. Continued use after an update means you accept the revised policy.
